Turning More Tours Into Enrolments: A Follow-Up Playbook

A great tour doesn't sell itself. What happens in the 48 hours after a family walks out the door usually matters as much as the tour did.
Most centres get the booking and the walkthrough right. Where enrolments quietly slip away is the gap between “thanks for coming in” and whatever happens next — or doesn't.
Close the loop the same day
A confirmation should go out the moment a tour is booked, not the day before. It sets expectations, reduces no-shows, and gives the family a calendar entry they'll actually see.
Split your follow-up by outcome
Not every visit ends the same way, so the follow-up shouldn't either:
Attended — move the family to Tour Completed and trigger next-day follow-up automatically, while the visit is still fresh in their mind
No-show — don't just re-send the same message. Book a re-engagement call instead, since a missed tour is a different conversation to a completed one
Ask while it's still fresh
A short survey sent right after the visit tells you far more than one sent a week later. Families remember the room, the staff, and how welcome they felt — for about 48 hours. After that, the details blur and the feedback gets vaguer.
Make the calendar work for the family too
Every confirmation should carry an add-to-calendar link and a calendar file, and self-booking through a chat widget should land on the exact same calendar a consultant would use. The fewer places a family has to check to know when they're coming in, the more likely they show up.
None of this replaces a good tour. But a centre that automates the follow-up consistently gets more of its tours across the line than one relying on someone remembering to call back.
